Personal data and how it is used
We need personal data in the following cases
• When you visit the website
When you visit our website, we collect technical data (log files), such as the name of the website requested, the file, the date and time of the request, the data volume transferred, a confirmation of the successful request, the browser type and version, the user’s operating system, the referrer URL (the page visited immediately prior to our website), the IP address and the requesting provider. The legal basis for this is our legitimate interests in terms of Art 6. (1) f) GDPR in a uniform presentation of our website and a secure operation of our systems. For security reasons (e.g. to investigate misuse and fraud), log file information is stored for a maximum of seven days and then deleted. Data that needs to be stored for longer than this so that it can be used as evidence is excluded from deletion until the incident has been finally resolved.
• A customer/supplier relationship
If you are a customer/supplier of Sauerländer Spanplatten GmbH & Co. KG, we process the following categories of personal data: contact data (e.g. name, address, email address, telephone number), goods ordered/purchased, accounting data, bank details, data relating to your payment history, eligibility data (supplier self-assessment, compliance screening). The data is processed for the purpose of executing purchase and supply contracts, including the settlement of accounts, and fulfilling our legal obligations. When contracts are concluded and in the case of a legitimate interest (even for existing customers in individual cases), we reserve the right to check the customer’s credit rating. In this regard, we work with Euler Hermes SA. For this purpose, we pass the name of the customer and their contact details on to Euler Hermes SA. You can find the information relating to the data processing that has taken place in accordance with Art. 14 GDPR at: www.allianz-trade.de/datenschutz.html. Furthermore, compliance screening is carried out by AEB SE on the basis of the provisions of customs law. For this purpose, we pass the name the address and of the customer or supplier on to AEB SE. We process this data for the following purposes and with the following legal bases: 1. to execute of all necessary (pre-contractual) contractual measures at the request of the customer on the basis of Art. 6 (1) b) GDPR 2. to fulfil legal obligations (e.g. on account of the requirements of commercial or tax law, compliance screening) on the basis of Art. 6 (1) c) GDPR. 3. to satisfy a legitimate interest in the case of credit reports on the basis of Art. 6 (1) f ) GDPR. Your personal data will only be disclosed or forwarded for the aforementioned purposes, and only to the following third parties: accounting, IT, telephone and printing service providers and, if applicable, to credit agencies to assess your creditworthiness. The personal data will not be forwarded to third countries or international organisations. Your personal data will be stored for as long
as is necessary to fulfil the aforementioned purposes or until the end of the retention periods underlying the contractual relationship.
• When you get in touch
A contact form is available on our website and can be used to contact us electronically. If a user takes advantage of this option, the data specified in the input screen is transmitted to and stored by us. This data includes: personal master data, address data, contact data. We process the personal data solely to handle the enquiry. If a user contact us by email, this also constitutes the necessary legitimate interest in the data processing. The other personal data that is processed in the course of sending the email serves to prevent the contact form from being misused and to ensure that our IT systems are secure. The legal basis for processing data with the user’s consent is Art. 6 (1) a) GDPR. The legal basis for the processing of the data that is transmitted in the course of sending an email is Art. 6 (1) f) GDPR. If the email is sent with the aim of concluding a contract, an additional legal basis for the processing is Art. 6 (1) b) GDPR.
Data security
To protect our customers’ personal data, we process the data solely in
data centres and on computers protected by security technologies in accordance with industry standards (e.g. firewalls, password protection, access controls, etc.). We only store personal data for as long as is necessary to fulfil the purposes for which it was obtained or to satisfy legal requirements for reporting or the retention of documents.
Safeguards
All employees of our company have been bound to data secrecy. Our
data centre and our in-house IT department are constantly adapting the technical safeguards to the latest conditions and requirements. Both are subject to continuous monitoring by the data protection officer.
Forwarding of personal data
As a company operating on an international level, Sauerländer Spanplatten GmbH & Co. KG has a global internet presence. We process your data within Sauerländer Spanplatten GmbH & Co. KG to deal with your enquiries and orders and to continue to improve our products and services. When required, Sauerländer Spanplatten GmbH & Co. KG also forwards information to business partners, service providers, third parties or subcontractors. This may be necessary to provide a service that you want, e.g. order processing, for customer service purposes or to provide you with information about products or services. We have concluded a contract with Google for commissioned data processing and fully implement the strict requirements of the German data protection authorities when using Google Analytics.
Demographic characteristics with Google Analytics
This website uses the ‘demographic characteristics’ function of Google Analytics. This allows reports to be created that contain statements about the age, gender and interests of site visitors. Google may also process some of the collected informatio outside the European Union, e.g. in the USA. On 10.07.2023, the European Commission adopted the adequacy decision for the EU-U.S. Data Privacy Framework (successor to the Privacy Shield). The adequacy decision can now serve as the basis for data transfers to certified organizations in the USA. LinkedIn has certified itself under the EU-US Data Privacy Framework.
